Every grant, spent on what it was for, and clear to your board.

Countaline is simple software for the treasurer of a small nonprofit. See how much of each grant is spent and what is left, keep restricted money apart from money you are free to use, and print a board report and a funder report without building them by hand.

This is a pre-order: Countaline is not finished yet. Founding members get the first version by February 15, 2027.

On track

Does this sound like your week?

  • The funder report is due Friday. You are going line by line through the bank statement, tagging which costs belong to which grant.
  • A board member asks how much of the money in the bank is actually free to spend. You are not sure, and you do not want to guess.
  • You took over from a treasurer who kept it all in their head. Now you are the one who has to hand it over cleanly.

How it works

  1. Set up in about 5 minutes. Add your organisation, your general fund and one fund per grant, with its award, dates and budget lines.
  2. Record money in and out. Tag each cost to a grant and a budget line. Event cash is counted by two people and locked.
  3. Print the reports. A monthly board report shows restricted and free money apart; a funder report shows each grant against its budget.
  4. Hand it over. Give the next treasurer one handover file with the full history.

A demo for the nonprofit edition is coming in December. Until then, book a 15-minute call and we will walk you through it with numbers like yours.

Five things it does

Grant tracking

1. Every grant against its budget.

For each grant: the award, the period, the budget lines, what is spent and what is left, and whether spending is on pace. Report due dates are listed so none sneaks up on you.

Replaces: the grant spreadsheet with one tab per funder and formulas nobody trusts.

2. Restricted money kept apart.

Money given for a purpose stays in its own fund until it is spent on that purpose. Your free balance is always clear.

Replaces: the moment you realise the "available" balance included next month's grant money.

3. A board report in one click.

Each month, a PDF with free and restricted balances, income and expenses by fund, and a short note of your own.

Replaces: the evening spent building the board packet.

4. A funder report and donor letters.

Print a report for one grant: budget line by budget line, spent against awarded. At year end, print an acknowledgment letter for each donor, with your own wording.

Replaces: copying numbers from the books into the funder's template by hand.

Handover

5. A real handover.

When a new treasurer takes over, you give them one handover file with the full history, the grants, the balances and the past reports. Export everything to CSV at any time.

Replaces: the "ask the old treasurer" phone calls.

Where your records are kept

In the first version, your records stay on your own computer. Countaline runs in your web browser and keeps your organisation's records there, not on our servers. We never see your donors' names or amounts, unless you choose to share them with us for help or a setup call, and only for that.

Because the records live on one computer, Countaline reminds you each week to save a backup file. Keep it on a USB stick or in your own cloud folder; restoring takes a minute. The same file is your handover to the next treasurer.

Online access, where other officers and board members use their own devices, comes in spring 2027 and is included for founding members.

Is this for you?

It is for you if:

  • You are the treasurer or finance volunteer of a nonprofit with income under about $500,000 a year.
  • You manage a few grants or restricted gifts and must show how each was spent.
  • You want a simple tool, not a full accounting system.
  • You report to a volunteer board.

It is not for you if:

  • You need a full general ledger, payroll or a Form 990 package. Keep your accountant and accounting software for those.
  • You need online donations or donor management. We do not take payments.
  • Your auditor requires a specific accounting system.

Dr. Feras Hakkak

Who is behind Countaline

I'm Dr. Feras Hakkak. For more than twenty years I have designed business systems: how money, records and sign-offs move through an organisation. Volunteer treasurers do that same job, often with a spreadsheet and a folder of paper slips, and the next treasurer has to start again. I built Countaline to make that job simple and safe.

Every founding member can reach me directly. If you would like to see it with your own numbers first, book a 15-minute call.

Questions treasurers ask

1. Is our data safe?

In the first version, your records stay on your own computer and never reach our servers, so we never see your donors' names or amounts. Corrections are added as linked entries, so there is a trail of who did what. Read the details on our Data and Privacy page.

2. What if my computer breaks, or I clear my browser?

Countaline reminds you each week to save a backup file. Keep it on a USB stick or in your own cloud folder. On any computer, open Countaline and restore the file; it takes a minute.

3. Can other board members use it?

The board gets the monthly report as a PDF. When online access arrives in spring 2027, board members can also have their own logins.

4. What happens when I hand over?

You give the next treasurer the handover file. They open it in Countaline and see the full history, the funds and the past reports. Nothing is lost.

5. Does it prepare our Form 990 or our audit?

No. Countaline keeps clear records of grants, restricted funds and spending, and exports them to CSV for your accountant or reviewer. It is not accounting software and we do not give tax or legal advice.

6. How is this different from QuickBooks or Aplos?

They are full accounting systems. QuickBooks needs class workarounds for restricted funds; Aplos does fund accounting properly but costs more and does more. Countaline does less, on purpose: grants against budgets, restricted money kept apart, the board report, the funder report and a handover file. If you need a general ledger, one of them suits you better.

7. Does it work on a Mac?

Yes. It runs in a web browser (Chrome, Edge, Safari or Firefox) on Mac, Windows or Chromebook. In the first version, keep your books on one computer.

8. Can the organisation pay instead of me?

Yes. Pay with the organisation's card, or pay yourself and hand in the Gumroad receipt for repayment. If you need an invoice, write to us.

9. What happens after the first year?

We will email you at least 30 days before. As a founding member, your price stays at $99 a year for as long as you stay. The normal price for new customers will be about $29 to $39 a month.

10. When do I get it, and what if you are late?

The first version of this edition arrives by February 15, 2027. Your first year starts when you get it, not when you pay. If we have not shipped it by March 15, 2027, or you change your mind before it ships, you get a full refund. Paid once; nothing renews by itself.

11. What if you stop, or go out of business?

Your records are on your own computer, and you can export everything to CSV at any time. Nothing you have entered depends on us staying in business.

12. Does it import from the bank, or do budget vs actual?

Not in the first version. You record money in and out yourself, or bring it in from a spreadsheet where the page says so. We will ask founding members what to build next, and bank import and budget vs actual are high on that list.

13. Who are you?

Countaline is made by The Vera Standard, the studio of Dr. Feras Hakkak, in Hyderabad, India. We answer email within one working day, and calls fit your morning or early afternoon (US time). Write to theverastandard@gmail.com.
