Who has paid their dues, what's in the reserve, and a report your owners can trust.

Countaline is simple software for the volunteer treasurer of a small self-managed HOA. Keep a dues roll for every home (your regular and special assessments), keep the reserve fund apart, and print a board report and an owner statement in one click. Your owners keep paying the way they do today.

This is a pre-order: Countaline is not finished yet. Founding members get the first version by February 15, 2027.

Does this sound like your week?

  • A homeowner says they paid in March. You are searching bank statements and a spreadsheet to prove it either way.
  • The annual meeting is coming, and owners will ask how much is in the reserve and whether dues will go up.
  • You agreed to be treasurer "for a year or two". Whoever comes next will need everything, in order.

How it works

  1. Set up in an evening. Add your HOA, Operating and Reserve funds, your homes and owners (from a spreadsheet or by hand), and the dues schedule: monthly, quarterly or yearly.
  2. Record payments. Mark each home's payment as it arrives. Two people sign each deposit count and it locks.
  3. See who owes. The dues roll shows every home: due, paid and balance. Print a statement for any owner.
  4. Print the board report and hand it over. One click for the monthly report; one file for the next treasurer.

A demo for the HOA edition is coming in December. Until then, book a 15-minute call and we will walk you through it with numbers like yours.

Five things it does

Dues roll

1. A dues roll for every home.

Each home with its owner, its dues, what has been paid and what is owing. Print an account statement for any owner when a question comes up.

Replaces: the spreadsheet with 48 rows and colour-coding only you understand.

2. The reserve fund kept apart.

Operating and Reserve stay separate, so owners can see the reserve is really there.

Replaces: the single bank balance everyone argues about at the annual meeting.

3. A board report in one click.

Each month, a PDF with fund balances, income and expenses, and dues collected and owing. Add a short note.

Replaces: the evening spent building the report for the board.

Two-person count

4. Deposits counted by two people.

When checks and cash come in, two people enter the deposit and both sign. The total locks; any later fix is a linked correction that shows in the history.

Replaces: the "who deposited what, and when?" question.

Handover

5. A real handover.

When a new treasurer takes over, you give them one handover file with every home's history, the funds and the past reports. Export everything to CSV at any time.

Replaces: the box of statements passed between neighbours.

Where your records are kept

In the first version, your records stay on your own computer. Countaline runs in your web browser and keeps your HOA's records there, not on our servers. We never see your owners' names, balances or amounts, unless you choose to share them with us for help or a setup call, and only for that.

Because the records live on one computer, Countaline reminds you each week to save a backup file. Keep it on a USB stick or in your own cloud folder; restoring takes a minute. The same file is your handover to the next treasurer.

Online access, where other board members use their own devices, comes in spring 2027 and is included for founding members.

Is this for you?

It is for you if:

  • You are the treasurer of a self-managed HOA with about 20 to 150 homes.
  • Owners pay by check, bank transfer or Zelle, and you track it by hand.
  • You want simple books, a reserve you can show, and a clear board report.
  • You do not want to pay for online payments or a portal you will not use.

It is not for you if:

  • You want owners to pay online or log in to a portal. Tools like PayHOA or EasyHOA include that.
  • You need violation tracking, architectural requests or a website.
  • You need collections, late-fee rules by state law or legal advice. We do not give legal advice.

Who is behind Countaline

I'm Dr. Feras Hakkak. For more than twenty years I have designed business systems: how money, records and sign-offs move through an organisation. Volunteer treasurers do that same job, often with a spreadsheet and a folder of paper slips, and the next treasurer has to start again. I built Countaline to make that job simple and safe.

Every founding member can reach me directly. If you would like to see it with your own numbers first, book a 15-minute call.

Questions treasurers ask

1. Is our data safe?

In the first version, your records stay on your own computer and never reach our servers, so we never see your owners' names, balances or amounts. Corrections are added as linked entries, so there is a trail of who did what. Read the details on our Data and Privacy page.

2. What if my computer breaks, or I clear my browser?

Countaline reminds you each week to save a backup file. Keep it on a USB stick or in your own cloud folder. On any computer, open Countaline and restore the file; it takes a minute.

3. Can other board members use it?

The board gets the monthly report as a PDF. When online access arrives in spring 2027, board members can also have their own logins.

4. What happens when I hand over?

You give the next treasurer the handover file. They open it in Countaline and see the full history, the funds and the past reports. Nothing is lost.

5. Can owners pay their dues through Countaline?

No, on purpose. Owners keep paying the way they do now (check, bank transfer, Zelle). You record each payment in the dues roll. If you want online payments and an owner portal, PayHOA or EasyHOA include them.

6. Does it handle late fees, liens or state HOA rules?

No. You can record a late fee as a charge to a home, but Countaline does not apply rules or give legal advice. Follow your governing documents and your state's law.

7. Does it work on a Mac?

Yes. It runs in a web browser (Chrome, Edge, Safari or Firefox) on Mac, Windows or Chromebook. In the first version, keep your books on one computer.

8. Can the organisation pay instead of me?

Yes. Pay with the organisation's card, or pay yourself and hand in the Gumroad receipt for repayment. If you need an invoice, write to us.

9. What happens after the first year?

We will email you at least 30 days before. As a founding member, your price stays at $99 a year for as long as you stay. The normal price for new customers will be about $29 to $39 a month.

10. When do I get it, and what if you are late?

The first version of this edition arrives by February 15, 2027. Your first year starts when you get it, not when you pay. If we have not shipped it by March 15, 2027, or you change your mind before it ships, you get a full refund. Paid once; nothing renews by itself.

11. What if you stop, or go out of business?

Your records are on your own computer, and you can export everything to CSV at any time. Nothing you have entered depends on us staying in business.

12. Does it import from the bank, or do budget vs actual?

Not in the first version. You record money in and out yourself, or bring it in from a spreadsheet where the page says so. We will ask founding members what to build next, and bank import and budget vs actual are high on that list.

13. Who are you?

Countaline is made by The Vera Standard, the studio of Dr. Feras Hakkak, in Hyderabad, India. We answer email within one working day, and calls fit your morning or early afternoon (US time). Write to theverastandard@gmail.com.
