Google Sheets Grant Tracker and Nonprofit Budget Template
Know which grant is being spent too fast and which report is due next. A Google Sheets and Excel grant tracker with a one-page funder report for any period.
What You Get
- A funder report you can print: pick the grant, type the report period from and to, and see what was spent before the period, in the period and to date, plus the money received.
- A grant tracker for up to 60 applications (Prospect to Closed) with deadline flags, counts and dollars by stage and a win rate.
- Grant budgets for up to 8 grants with 12 budget lines each: spent to date comes from your expense log, with remaining, percent used and a flag that tells you which grant is being spent too fast.
- A log of money received from each funder, so you can see received to date and what is still owed to you (spent minus received).
- A 600-row expense log with a Check column that tells you which row has a typo (text date, text amount, no grant, outside the grant period), and a split-cost helper for a shared cost.
- A yearly nonprofit budget (plan and actual by month, year to date, restricted and unrestricted split, months of unrestricted cash on hand) and a reporting calendar with an automatic next-90-days list.
FILES (5): grant-nonprofit-budget_workbook_v1.xlsx (12 sheets, with fictional sample data marked Sample so you can see it work), grant-nonprofit-budget_workbook_v1_blank.xlsx (the same, with the sample removed), grant-nonprofit-budget_printables_Letter.pdf and grant-nonprofit-budget_printables_A4.pdf (6 fillable pages each, 361 form fields: deadline tracker, grant budget vs actual, funder report, 12-month reporting calendar), 00_READ_ME_FIRST.pdf (1 page).
NOT included: bank import, accounting advice, funder rules or cost rates. You type the figures from your own award letters.
How It Works
- Instant download. Open Google Sheets, then File, Import, Upload this file; or open the .xlsx in Excel 2016 or later. Nothing to install, no macros, works offline in Excel.
- The Start here sheet opens with a five-line Quick start: set the as-of date, enter one grant, set its budget, log an expense and a payment, then print the funder report.
- Every total is a formula and the formula cells are locked (no password), so a typed number cannot overwrite a total by accident.
- Print the Dashboard, Grant Tracker, Grant Budgets, Funder Report and Reporting Calendar sheets on Letter or A4.
- After you buy, 00_READ_ME_FIRST.pdf names one optional free next step: the printable checklist "Before your first treasurer report", sent when you opt in with your email on the seller's free page. It is optional and you can unsubscribe at any time.
Who It Is For
Directors, development staff, treasurers and volunteers at a small nonprofit who track several grants and report to funders.
Cost rules, rates and funding source requirements are not included; you type the figures from your own agreement. It records and totals what you type; it does not check your figures against your bank.
Requirements
Excel 2016 or later, or Google Sheets (a free Google account); on a phone, the workbook is for looking things up, so enter data on a computer. Any PDF reader for the printables: the printables are fillable PDF forms (type on screen) and also print and write by hand, in Letter and A4.
Licence
License for one buyer: use it yourself, in your household, or for the one club, class or organization you use it for. No resale or redistribution.
You may print and copy the file for that use as many times as you like.
You may not sell, share, upload or give away the file or any edited version of it.
Refunds
Digital files are not returnable, but if anything is wrong with your file we will fix it or refund you within three working days.
